Dusklin After Hours · for private clubs

Every member call answered. Every complaint on your phone before the member hangs up.

  • Every member call answered
  • Complaints texted to you
  • Built-in CRM

After Hours answers as your club whenever the desk can't, finds out what the member wants, labels it for the right department, texts it to your phone in seconds, and gives the GM one monitor that sees all of it, with a briefing ready every morning.

Try it before you pay

Hear it handle a wedding inquiry. Then try to trip it.

If it isn't good enough for your members, you'll know in a minute rather than a month.

0:19Scripted · dramatization

Dusklin:Demo Bay Club, after-hours reception. This call is recorded — is that all right? I'm an AI assistant.

Caller:Hi, we're looking at a wedding next March, about a hundred and twenty guests.

Dusklin:I can't hold a date from here, but I'll have our director of events call you tomorrow. Is the morning better?

Then talk to it yourself. A demo private club, in your browser, no sign-up. Ask about a wedding for 120 in March, ask what the food-and-beverage minimum is, then ask to speak to the gate. Hear what it captures and what it refuses to invent.

Interrupt it, change your mind, switch to Spanish, ask for the gatehouse. On a real line it puts the member through to a direct line or an extension behind the switchboard; this browser demo has no phone line to hand you to.

The demo club also has a page of its own.

Talk to it from this page

Uses your microphone. It says it is an AI and that the call is recorded, as it does on the phone.

One member problem, fixed

“I called the club and nobody picked up.”

That is the complaint that reaches the board. It is also the easiest one to make disappear, and the one that leaves the best data behind.

  1. Answered when the desk can't

Nights, Mondays, holidays, and the busy afternoon when the desk is on the other line or on the floor: forward on busy or after four rings and the call is answered anyway, in the club's own manner, never a voicemail box.

  2. Complaints taken properly

It lets the member finish, repeats the point back in their words, takes name, member number, what happened and what would put it right, and texts it to your phone verbatim, marked as a complaint. It never argues and never promises a credit.

  3. Demanding members handled without a scene

A table held, a rule waived, a director woken at eleven: “I can't do that from this desk, and I won't pretend to. I'll put it in front of the right person first thing, with your name on it.” Then it does.

  4. The GM monitor and the daily briefing

One screen for the GM and the clubhouse manager: every call and request as it lands, complaints in red, what is still waiting for a callback, and the pattern by hour and weekday. Every morning at seven the briefing is on the monitor: last night's requests by department, who needs calling back, and today's event inquiries. Staff and budget from the pattern instead of from memory.

  5. Every message labelled by department, and events get a BEO

Events, membership, dining, golf, tennis and complaints each arrive labelled, so each director sees theirs at a glance. An event inquiry arrives as a BEO draft with the client email and the deposit invoice one click away.

  6. Recorded, logged, and yours

Every call in the console with the audio. When a member says “I told your people three times”, you can hear all three.

What it does for a club

Six calls a clubhouse gets after five, handled the way your directors would.

Every line is something it does on its own the moment the line rings.

  1. Answers as your club

Two rings, a calm voice, and it says what it is: an assistant, on a recorded line. Florida asks all parties, so it asks — then it sounds like your front desk, not a call centre.

  2. Takes the event inquiry properly

Date, guest count, ceremony or reception, the couple's names and number, and how they found you. Texted to your phone within the minute, marked as an event inquiry. It never quotes a minimum, a rental fee or a date it can't confirm.

“I can't hold a date from here, but I'll have our director of events call you tomorrow — is the morning better?”

  3. Handles membership the way membership wants

Name, where they live, whether a member introduced them. Texted to your phone with the note, marked for membership. Initiation and dues are discussed only in the words you give it — or not at all.

  4. Members who need someone reach someone

The gate, security, the manager on duty: put through to the numbers you give, and only those. Everyone else gets a message taken and a promise that is kept.

  5. Dining and tee-time requests, without a false booking

It takes the request, says when the desk or pro shop opens, and never confirms a table or a time the club didn't. Requests land in the console with the recording.

  6. Your rules, in your words

Send a line and it changes the same day.

“Weddings go to Martina, never to the pro shop.” “The pool is closed until the 15th.” “If a member asks for the GM after nine, take a message unless it's the gate.”

The event inquiry comes back as a draft, not a note. Generated image.

After the call is over

The inquiry does not sit in a text message until somebody types it up.

Answering the phone is half of it. This is what happens to what the phone caught, before your director opens their laptop.

  1. The event inquiry comes back as a draft, not a note

Type of event, the date they said, the guest count, whether there is a ceremony as well as a reception, the contact and their number — pulled out of the call and laid out the way a BEO is laid out. Your director corrects it; they do not start it.

    “Wedding · June · 150 guests · ceremony and reception · Dana Ruiz, 561-555-0177”

  2. The reply to the client is already written

A first email back, in a director’s voice, carrying the numbers that belong to that date — the room, the food-and-beverage minimum, the deposit that holds it. It goes out from your director’s own mailbox, after they have read it. Nothing is sent in your name without a person pressing send.

  3. The deposit invoice is one click, not a Tuesday

The deposit that holds the date becomes a real invoice with the client on it, raised and sent when your director says so. No new system for accounting to learn and no card numbers anywhere near the clubhouse.

  4. A brief at seven, before you are in

What came in overnight, which department it belongs to, who is still waiting for a call back, and which complaints are still open. Waiting on the monitor at seven, before you have opened anything else.

  5. Complaints stop evaporating

A member who complains at nine on a Saturday is on the seven o’clock brief on Sunday, and stays on it until somebody marks it done. The complaint that reaches your board is almost never the original problem — it is that nobody told you.

  6. The pattern, by day and by hour

Which evenings the calls actually come, what people ask for, how big the parties are. Over a season that is a staffing argument you can put in front of a board with numbers on it, rather than a feeling about Thursdays.

Every one of these is something you can see happen before you decide anything. None of it replaces your club’s system of record, and nothing is sent to a member without one of your people reading it first.

For the marketing department

You have a marketing team. This gives them their evenings back.

Two chores that eat a director of marketing's week, done in the club's voice and handed over for approval — never posted without it.

Reviews, answered

Reviews are what a prospective member and every wedding planner reads first. Every new review gets a considered reply drafted in your club's voice, and the ones that need a person are flagged, not guessed at.

Drafts arrive for your team to approve and post — nothing goes up in the club's name without a person. $19 a month.Prices in US dollars.

Event footage, cut for the feed

The member-guest, the holiday brunch, the wedding showcase: send the phone footage and photos your staff already take, and get back short vertical clips and graphics with captions, ready for Instagram and the member app.

Offered as a pilot on one event first — you judge the cut before anything is priced or posted.

From the floor

I ran food and beverage at a private club in Palm Beach County. I have stood on a banquet floor on a Saturday night and watched the events line ring out while the whole team was serving two hundred people. Every one of those calls was a wedding we didn't get to quote or a member we didn't get to help. This exists because of that.Tolga Coskun, OdileUSA L.L.C.

Setup

Set up in person, at your club, by someone who has run a club’s food and beverage.

Tolga spent five years in private-club food and beverage on this coast. He comes to the club and builds it with your GM and your directors in one sitting. Nothing changes on the sign, the cards or the member directory; your main line forwards after closing, and back at opening.

  1. The visit

Hours by venue, how each department's messages are labelled, the gatehouse and pro-shop extensions, house rules, what it must never say. Two hours in your office.

  2. You hear it first

It is live on a test line before he leaves. Your GM, membership and events directors each push it before a member ever does.

  3. Forward after-hours calls

One setting on your phone system, done with your IT or your phone vendor on the same visit. From then on, closed-hours calls are answered, logged, recorded and on the right phone.

Her manner, your standard

Unhurried, precise, never familiar. She uses the member's name once she has it and never a first name she wasn't given. No upselling, no scripts read aloud, no “great question”.

We tune the pace, wording and voice to your club before she takes a call, and retune any time a director asks.

What it costs

Set after the visit, once we have both seen what your club's evenings actually look like. Every department is included, so is the demand tracker, and there is no per-minute billing and no contract.

Clubs differ more than the brochure pricing of this industry admits — a 300-member club with one dining room and a 900-member club with a marina are not the same job. We would rather walk your clubhouse first and quote the work in front of us.
